Professional Services Tool Library – GL Master Triggers

Posted on: February 24, 2016 | By: Craig Thompson | Microsoft Dynamics GP, Professional Services

This is post number four in a series of blog posts that are centered on the specific features within the Professional Services Tool Library (PSTL). The PSTL is now a standard feature in GP that has many valuable tools available to users that used to only be accessible via Microsoft support or your implementation partner. Before you begin using the PSTL, there are a few things that you need to remember:

  • Before you take any action in the PTSL, make a backup of your SQL Server data. Some of the tools will prompt you to make a backup before proceeding, but this should be standard practice for all of them.
  • Most of the tools require that the person utilizing the PTSL is the only user logged into GP.
  • Certain tools will require that you login as “sa.”

In this post, I will show you how to best use ‘GL Master Triggers.’ This tool allows you to automatically replicate master file records for general ledger accounts, vendors, and customers to other company databases in your system. This replication will occur only for records entered after the trigger is set. Once the trigger is set, only the modified information related to a record will move to the new company. This is especially useful for creating or recreating a test environment with live company data that includes accounts, vendors, and customers.

In order to utilize this tool, click on the radio button that the red arrow above is pointing to above and click Next. The screen below will pop up.

The ‘Master DB’ is the database that the accounts, vendors, and/or customers are coming from, while the ‘Replicate to DB’ field is the company database that you are copying to. Next, you can choose whether to copy the accounts, vendors, and/or customers. Click OK and you are done.

This process, while similar to Company Copy, will copy over modifications made to master records after the trigger is set. When you utilize Company Copy, you are copying over all master record data. Using Company Copy will make an exact replica of all master records, while GL Master Triggers will replicate any changes made to master records. This tool is great for companies that have multiple locations for a store or similar businesses that share accounts, vendors, and/or customers.
