Purchase Approval Workflows in Business Central

Daily business tasks often include having to buy important material for company operations, whether it be from vendors or for employees. Making purchases is something that requires oversight within a company because of the implications it can have on operations and financials. It’s important for users to be aware of any transactions occurring, so this often requires a chain of approval in order for the purchases to go through.

Business Central, a comprehensive ERP solution, has a tool that allows you to create a workflow that outlines the appropriate approvals required for the purchase so that you can have a record of these transactions and remain vigilant in business decisions.

In today’s post, we are going to provide you with a brief overview of how to set up a purchase approval workflow in Business Central.

Assigning Approval Users

In order to begin the process, you must assign approval and approver rights to the desired users, respectively. When doing this, you can decide how and when users are notified of approval requests.

Creating Approval Workflow

Once you have given approval rights to the correct users, you can begin setting up your workflow. Here’s how:

  1. Type “Workflows” into the search flow and click on the corresponding result.
  2. Click “Actions,” then “New.” Then, select the “New Workflow from Template” option.
  3. Select the “Purchase Order Approval Workflow” template.
  4. At the top of the page click the “Enabled” check box.

Now, your approval workflow is set up and activated. Users can now go into the system and either make approval requests or give the green light to these requests
