Custom Security in Dynamics 365 for Finance & SCM

Posted on: August 8, 2021 | By: Jarrod Kraemer | Microsoft Dynamics Manufacturing, Microsoft Dynamics AX/365

Security can often seem like a daunting task, although when it is broken down, it becomes an extremely useful tool to address SOD and user access issues. Through the customization of security, we can transform the way Dynamics 365 for Finance and Operations interacts with its users, effectively managing internal changes surrounding all business processes. In this blog, I will illustrate how we can Create Custom Security Roles and how we Associate New Security to Users.

Creating Custom Security Roles

If we want to create a new, blank security role, navigate to System Administration > Security Configuration click Create New. Another best practice is when you are naming any Custom Security role is to mark it with an * to make it easily accessible.

If we want to edit an existing role, select the role, and click DUPLICATE. *It’s extremely important that we never edit out of the box roles* This will create the exact same role but will allow you to add additional permissions while keeping the standard functionality there as well.

Now that we’ve created a Custom Privilege, *Accounting Manager, if we select privileges and click add references, we can add additional privileges to the role.

Once we’ve added our additional privileges, we are ready to publish the role. Click Unpublished Objects and either select a single, multiple or all customizations and hit Publish to make them live.

Associating a Custom Role to a User

Now that we’ve created a Custom Role, we need to assign the role to a user. The best part about this is that once the custom role has been associated to a user, all future updates are automatically applied.

To do this, first, navigate to System Administration > Users. From here, select the user you want to add a security role to and click Assign Roles

Next, on the right side of the screen, select the role you want to add and click OK. If this is a new user and you want to add the same roles as another user, type the users name whose permissions you want to copy in the ID field. From here, you will be able to select some or all the permissions from that user that you want to add.

Once we’ve added new permissions to a user, simply refresh the browser to see the changes.
