Vendor form displaying a select vendor in Microsoft Dynamics AX 2012

While supporting a Go Live at a client, a user came up to me and asked why AX was not showing the latest purchase order that had been created.  She walked me through the process by firming a purchases order from MRP.  We looked at the vendor form under Account Payable> Common> Vendors> All Vendors and the firmed purchase order that received a PO# was not visible.

We then opened net requirements on the item we were purchasing and saw the purchase order number.  Once the purchase order line was highlighted, we right clicked and were taken to the order details, and processed the purchase order.  The next step we took in trying to figure out this issue was to ask other users if they saw the purchase order in their version of AX.  Sure enough, the other users had no problem seeing every purchase order and even saw the one that we recently firmed.  Naturally our first instinct was to chalk it up to a security issue in AX, but nothing in the security setup indicated an issue.  Once security was eliminated we dug around on the user under Human Resources and stumbled upon User Relations.  We noticed that a specific vendor was specified on the user’s account.  We removed the vendor from the relation form, and all of our purchased orders returned to the form.

 I recreated this scenario in a test environment.  My first screen shot shows purchase orders for one vendor.

Removing the relation will display every purchase order again.

This small issue could cause major headaches trying to do root cause analysis.  The form where we had the incorrect setup was not in Procurement or Accounts Payable, and could have caused lengthy troubleshooting for a team member.  For additional information please feel free to reach out to us at info@loganconsulting.com or (312) 345-8817.
