Utilizing Alerts for Write Off Journals in Dynamics 365 for Finance and Operations

Microsoft is constantly delivering new features and functionality for their flagship ERP system, Microsoft Dynamics 365 for Finance and Operations. A lot of this new functionality sounds great, but sometimes it can be difficult to determine what you would use the functionality for when it comes to real life business scenarios. Specifically, the alerts functionality has been available for some time now, but you maybe wondering in what ways could it be useful to your business. Recently, I was demonstrating the write off functionality in D365FO and came across an issue. Any collections and/or AR clerk user can easily create a write off journal in D365FO, but the journal is created as a general journal- which typically isn’t accessible for these users (let alone the ability to post the batch). Also, there is no communication to the users that do have the ability to post these journals, unless you configure alerts to notify users that a write off journal has been created.

I’m going to create an alert for any new write off journal by going to the general journal form and clicking Options and then Create a custom alert.
I’m going to create a custom alert for any new journal name that contains WriteOff. This will alert me once a new write off journal is created from the collections screen.
Next, I’ll write off an invoice from a customer so the system will automatically create the write off journal for me.
Once the batch job runs, I receive my alert that a new write off journal has been created. Please note that you can also configure this alert to send an email to the user(s) as well.
The alerts allow your accounting department to flow through the write off process much more efficiently by systematically notifying the correct users that there is a journal batch for them to post.
