New Year Maintenance for Dynamics AX 2012

Now that the calendar has switched from 2015 to 2016, it may be time to look at some company maintenance and make any necessary changes for the New Year.  This is not a comprehensive list of items to change or a year end business process, but rather a list of items that can be overlooked in your instance of AX.

1.      Data Analysis (Cubes)

a.      If you want to analyze cube data differently, specifically by year or time period, make sure you change the date dimension in system administration.  This change will affect all cubes.  This functionality allows you to build customer calendars on the go, and add a layer of analysis based on date.  Calendars could be setup based on business function as well.  Purchase calendars, Sales calendars etc.

                                                    i.     Go to System Administration>Setup>Business    Intelligence>Analysis Services>Date Dimensions

                                                   ii.     Click New

                                                  iii.     Add a 2016 record that contains 2016 Rates

                                                   iv.     Process the cubes

2.      Number Sequences

a.      Number sequences are often overlooked during a new year.  Some companies elect to have number sequences contain a prefix or suffix with the year.  These will have to be setup in the parameters of whichever module your number sequence resides

3.      Fiscal Calendar- This is a mandatory change that has to be made every year

a.      Setting up a fiscal calendar is very simple, and will give a user error messages upon postings. 

                                                    i.     Go to General Ledger>Setup>Fiscal calendars

                                                   ii.     Click new to build a calendar

1.      Enter in a Name, Description, dates, Fiscal year name, length of period, and units

2.      After the calendar gets created, verify the periods

4.      Updating budget entries

a.      Update Budget Models through the budgeting module

                                                    i.     Go to Budgeting>Setup>Basic Budgeting> Budget    models

b.      Update Budget cycle time spans

                                                    i.     You may already have budget cycle time spans set up, but you may need to add a new record within the span

                                                   ii.     Go to Budgeting>Budget Cycles>Verify dates

5.      Review Period Batch Jobs

a.      Verify that existing batch jobs do not have ending dates at the end of a year

6.      Working Calendar

a.      Update your working calendar or create a new one under Organization  administration>Calendars>Calendars

b.      Create a new calendar and update working times for that year.

In addition to the aforementioned items, there are other items that will have to be reviewed during the New Year depending on your business: Payroll updates, pricing agreement modification, and active BOMS are just a few.
