Mass Personalization in Dynamics 365 for Finance and Operations

Personalizations in previous versions of Dynamics AX has always been a nice feature, but one of the most common complaints has been the lack of ability to push these personalizations out to another user or a group of users.  In Dynamics 365 for Finance and Operations, you can now apply personalizations at the user level or security role level.

 

Once you have personalized your own screen to the configuration that you want to apply to other users, go to System administration> Setup> Personalization.

 

 

In the Apply section, find the user security role that contains the users you want to apply the personalization to, or select the All users section to pick and choose the users.  Place a check mark in the left column next to the user to select them for the personalization.

 

 

If the personalization was exported and saved in a file, it can then be imported by simply choosing Import personalization from a file and choosing the file where it was saved.

 

 

If you did not export the personalization, that’s not a problem, as all personalizations are now automatically saved based on the user id and form.  Choose the Select existing personalization option.

 

 

Find the corresponding table or form that was personalized in the list.  Select it and then choose to either add to the existing changes on that form or replace any personalizations on that form with the one you have created.  Then select OK.

 

 

The personalization is now pushed out to all users that you selected for the change.  This will come be a time saver for any mass screen updates that should be applied to all users in the company.

To take this one step further, you can also determine which users are able to make personalizations to screens by going to the Manage per user setting.  By deselecting the Personalization allowed option on any user, they cannot make changes to any form, or you can select the specific forms in the list that are allowed for personalization by that user.
