Email Reports from Microsoft Dynamics AX 2012

I have come across many postings and questions regarding the ability to email reports either to internal users in AX or external contacts in AX (Vendors and Customers).  The good news is that both features are available out of the box with AX.  Of course you can enter in all email addresses on various workers, customers, and vendors, but you also have an option to use a token instead.

As an example, for an internal email scenario you can enter in a job title token.  This job title token will only look at workers having that specified title, and from that list will look at the primary email address associated with the worker.  The token will also automatically send an email to that primary email address.

For an external contact such as a customer or vendor, we recommend using a purpose as a token.  Contact information on customers and vendors contains a purpose and having that token minimizes the chance that a document gets into the wrong contacts’ hands.  

 

The token can also be used to specify print destinations as well, but this will require minimal development effort.  There could be a centralized printer in the accounting department that you would only want AP Clerks to use, and with that small change this is possible.
