Step-by-Step to Add New Dynamics/CRM Users to SharePoint

We recently received a client request to help with an error for a user tracking to track documents in SharePoint from their Dynamics CRM system. This started as a tricky situation because the error was very generic and did not give a log nor details about why the user could not post a document to their CRM SharePoint site. When setting up SharePoint in CRM there are many things to consider: Does the user have the proper access to Dynamics including security roles? Is the SharePoint site set up correctly in settings within Dynamics (see below – Settings -> Document Management)? Does the user have proper permissions within SharePoint itself?

We found that allowing users improper SharePoint access through Office 365 is often the case. Although not difficult to set up, there are quite a few steps to click through in order to navigate to the correct screen and add a user. You also need to make sure you are a site admin to grant permission. Follow the steps below to navigate and create the user and permissions.

1.Navigate to portal.office.com and login with your username and password.

2. Click on the Admin tile.

3. Click on the Admin Pane at the bottom left of the screen and click on SharePoint.

4. Click on the CRM SharePoint site.

5. Click on the link again in site collection properties.

6. Click on the Gear icon in the top right and click on site settings.

7. Click on Site Permissions.

8. Click on Grant Permissions.

9. Add in the email of the person you’d like to add. The system should recognize the user and convert their email to a name. You can include a message as shown below and an invite through email. You can also grant the permission level; the base level will be a contributor. Click share and the user will be added once they accept the invite.
