Is It Time to Move Away from Dynamics GP?

Microsoft’s Dynamics GP is a classic software that has been around for decades. Users are accustomed to the system, and it has proven to be reliable and secure. However, in an evolving business world, on-premise software with little customization can no longer meet many companies’ unique needs. 

Now, businesses are opting towards implementing cloud-based software that allows for remote access, more comprehensive applications, and more cohesive communication between users. 

Because of the emergence of the cloud, Microsoft has shifted its focus towards Dynamics 365 Business Central. Although they did announce that Dynamics GP will continue to be supported until at least 2028, it’s safe to assume that any major innovation will likely emerge from Business Central.

We are going to go over a few reasons as to why switching to a cloud-based software like Business Central will be beneficial for current GP users.

Automatic Updates

To ensure you are running the most up-to-date version of GP, you must be using version 18.2 or later so that you can fall under Microsoft’s Modern Lifecycle Policy, which provides continuous support and bug fixes. If your version is older than this, the process of upgrading to version 182 can be costly and complicated. Once you are on this policy, you still need to remain vigilant and schedule updates and servicing periodically to keep your system running smoothly.

In contrast, Microsoft’s Business Central is cloud-based, meaning any updates to the solution will be implemented often and automatically by Microsoft themselves. Essentially, users don’t have to lift a finger when it comes to ensuring their ERP is up to date.

Easy Training

Dynamics GP was designed to be a comprehensive ERP solution, so its functionality is very complex and not very user friendly in comparison to other ERPs in the market. For any new user unfamiliar with the system, understanding how to navigate through the different windows as well as how to perform different tasks can be very complex and time consuming.

Business Central, on the other hand, is quite user friendly, and its design is straightforward, so users have an easier time navigating through the modules. It is also integrated with Office 365, many applications in which the average user is familiar with, so learning how to use the new software is less intimidating since there is already a foundation of knowledge.

Pricing

Dynamics GP is more expensive than a cloud-based ERP because users not only have to ensure they are working with a newer version of GP in order to be on the Modern Lifecycle Policy as mentioned above, but they also have to invest in hardware to power the software. Moreover, as additional users are added to the system, the hardware itself must be expanded in order to house a larger database.

Cloud ERPs don’t require any additional hardware because they function solely through the cloud, also allowing for easy expansion of users without the hassle of a concrete expansion of tools. This makes the software much less expensive especially because there is less of a reliance on IT because there is no hardware that needs to be monitored.
