Effectively Selecting New Software Systems

Is your business considering the acquisition of new software to resolve business concerns, enhance company offerings, or boost your position in the marketplace?  Far too often we find businesses making these decisions without fully understanding the requirements for the new solution, and without a methodology to select the best possible software for your specific organization.

A robust process for the selection of new software systems is a must for any business. When faced with various problems or changes that may arise and require resolution via new software, it is important for businesses to fully understand the breadth of the concern or strategy.  This starts with input from all groups and stakeholders impacted by the solution. Logan’s software selection process ensures that all groups are considered and have a voice in the decision, emphasizing thoughtful collaboration as opposed to going straight to the market.

First, our specialist works with company stakeholders to develop a complete understanding of the problem and what the ideal solution will provide. We sit down with each of the functional groups and listen to ensure that we are aware of all their needs regarding the new software. We tour relevant facilities to understand the environment in which the system will be operating and then draft system selection documentation.  Documentation includes the detailed list of requirements, higher-level system requirements to be included in vendor demonstration invitations, process maps, vendor invitation templates, and a scoring matrix for perspective vendor’s solutions.

Once the requirements of the new software are defined and confirmed by the executives / core teams, the team can utilize the business-specific requirements to create a short list of potential vendors.  Vendors may be selected due to their ability to work with your existing infrastructure, their perceived ability to deliver the most important requirements, their position in the marketplace, or other factors.  Vendor invitations are then sent out to the short list of vendors.  The invitations include high-level business requirements, an opportunity to receive the detailed requirements, and a window for demonstration and quoting.

The team involved in defining requirements should be involved in the software demonstration.  They will rate each vendor’s solution utilizing the scoring matrix.  When all reviews are completed, and quotes received, Logan provides a quantitative method for choosing the optimal solution for your company.  The documentation created through this process, along with the scoring process, may all be utilized to justify the decision and support the capital project request when requesting executive approval.
