Update 1099s Not Working? Try Manually Adding 1099 Transactions in D365 F&O or AX 2012 R3

As I’m writing this, we are still in the early part of Q1 for 2018.  The filing deadline for 1099 forms is January 31, 2018 which is very close from now!  As the deadline quickly approaches, we have had a couple of clients experience an issue when trying to use the Update 1099 functionality.  Once the user completes that process, the 1099 transactions are not appearing in the Vendor settlement for 1099 form- very frustrating!  The commonality among these transactions is that the vendor was used as the offset account in the lines of the invoice journal.  Currently this is an issue for both software versions: Dynamics 365 for Finance and Operations and AX 2012 R3.  Fortunately, you can manually add 1099 transactions for specific vendors.  Below I will show the steps on how to complete that.  Note: these are screenshots from D365 F&O but they are almost identical to the AX 2012 R3 version.

First, go to Accounts payable> Vendors> All vendors

Find your vendor with the 1099 transactions and go to the fast tab Tax 1099.  Make sure you have the Report 1099 switched to Yes, the Federal tax ID, Tax ID type and 1099 box filled out.

Once that is complete, go to the top of the form and click Vendor settlement for 1099’s.

In that form, click the Manual 1099 transactions button.

Click the New button at the top.  Fill in the following fields: Vendor account, date of transactions, 1099 box and amount settled federal 1099.  Optionally, fill in fields for State and Settled state 1099 if you are filing state forms as well.  Close out that form when you are complete.

Change the from and to dates so their range is in the last fiscal year.  You will see your manually added 1099 transaction.

Click Print at the top of the page to print the correct Tax 1099 form.  For additional information please feel free to reach out to us at info@loganconsulting.com or (312) 345-8817.

All the best!
