Purchase Order Approval through Mobile App in Dynamics 365 for Finance and Operations

In today’s world, you can do almost everything on your phone through mobile applications.  Whether it’s paying bills or ordering a car to give you a ride, the power to do any of these tasks is at your fingertips.  Now, that same power and functionality is available for your Microsoft ERP system.  The Dynamics 365 for Unified Operations is a mobile application (available on both iPhone and Android) that allows your users to connect and interact with data from your Dynamics 365 for Finance and Operations environment.  The app is very user friendly and it is easy to add different mobile workspaces that your users can use immediately.  In this blog, we will show how you can publish a mobile workspace and utilize the purchase order approval workspace to remotely approve purchase orders within D365.

 

Please note: you must have the system administrator security role to publish mobile workspaces.  Go to settings tool bar and then click mobile app.

Select your mobile workspace(s) and then click Publish.  Now that it is published, we can use the workspace within the app.

For an example, I created a purchase order for 5,000 kg of oranges in my USP2 company.  I will submit this to the workflow as I normally would with any PO.

 

Now, let’s open the Dynamics 365 for Unified Operations app.  Once you are connected to the app, you will see the mobile workspaces that were published earlier.

Once I go into the purchase order approval workspace, I will see the purchase order that I submitted earlier because my user was setup in the workflow as an approver.

I can dive deeper within the app by clicking on the PO to see all the details that were inputted in D365.  You can approve, reject, delegate or perform any other option that is also available within the web version of D365.  I will click approve and once the changes sync to the system, it will be removed from your que.

Going back into D365, you can see that the purchase order has been approved.

Currently, there are only so many mobile workspaces available, but I’m sure that MS will develop additional workspaces as more and more users begin to use the mobile app.  However, it should be noted that companies can develop their own mobile workspace to fit any requirements that their business has.  For more information on the mobile app, please click here.  For additional information please feel free to reach out to us at info@loganconsulting.com or (312) 345-8817.
