Attaching Files in Acumatica ERP

Unlike a lot of ERP systems, Acumatica ERP gives you the ability to attach documents to different screens. Even ERP systems that do offer it usually store the link in the database, not the actual file. Not only does Acumatica store the files in the database, but you can control who has access to the file, keep track of versions on the file, and more.

How to Attach Files

In Acumatica ERP, there are many different screens that a user can attach files to. Simply look for the Files button the upper right hand corner of a screen.

Click on the Files button. Then, click browse to look for the file on the user’s computer. Once the file has been selected, click Upload.

A user can also drag and drop the file directly from the computer onto the screen that it will be attached to. After the drop, click the Files button and click Upload. Once the file is uploaded, you will see a (1) next the Files button.

 

After the upload, a user can click on Files and then Edit next to the file name. This will open the File Maintenance Screen. Here you can view the versions of the file (if you replace the file with a new version, it keeps track of all the previous versions), who has access to the file, and even what screens in Acumatica are referring to the file. 

One great advantage to Acumatica’s file storage is that users within the same organization do not need to email files to each other. If they have access to Acumatica, they can simply send a hyperlink to the file (in Acumatica) in an email. That link will take users directly to the file where it can be easily opened.
