Turning Your Data into Valuable Information Through Acumatica

After you enter your data into a system, this data can be used as valuable information when making important decisions like developing financial plans and understanding next steps with a client. Acumatica’s Power Generic Inquiries helps to easily extract the data you need and use it for reporting functions and analysis. Specifically, you can use your this to highlight specific conditions by applying your Saved Filters and conditional formatting for rows and fields. But how can you get started? We wanted to show you three easy steps to start tapping into your system and utilizing your data to its full potential. 

In our example today, the objective is to highlight invoices with outstanding amounts greater than $10,000 and more than 100 days old. We will also be highlighting invoices that are more than 365 days old.

For our final results, we will have:

Highlight Row RED when the outstanding amount > $100,000

Highlight Row Letters RED when the outstanding amount > $50,000

Highlight Row BLUE when the outstanding amount > $10,000

 

1. Modify the Generic Inquiry initially provided. 

It is labeled DB Collections. Go to Results, edit the Row Style and put in the formula below (DB Collections > Results > Row Style > Enter Formula).

“=switch ( [ARInvoice.DocBal] >100000, ‘red20’ , [ARInvoice.DocBal] >50000, ‘red0’,[ARInvoice.DocBal] >10000, ‘blue20’ ,1=1,  ‘default’)”

This “switch” formula allows you to bring a different result for each condition and is much easier to use than a different formula like a “nested if” formula. By using the various styles provided by Acumatica, you can start controlling the highlighted color for each row.

2. Apply the same logic to the field conditions using the Days Old Greater than 365 days. 

Pick the field DaysOld, edit the Style and enter the formula below.

=switch ( DateDiff( ‘d’,  Today()  , [ARInvoice.DueDate]  ) < -365, ‘orange40’ ,1=1,  ‘default’)

*Note: The DaysOld field is a calculation and needs to be repeated as part of the style.

3. To apply the filter we need, click on the Filter bar and add the field for DaysOld.

Then, we’ll set the condition to Is less Than or Equal to Value -100. Click Apply and Save. This will create a saved tab on the Generic Inquiry that you can access quickly in the future.

And the Result?

We now have a color-coded list that allows you to quickly identify customers with outstanding invoices. By clicking on each invoice, you can add an Activity note to track the collection call and save for future references as well.
