Simplify Email Sends with Microsoft Dynamics Business Central

In a digital age, many industries are heavily reliant on email for the daily sending of information and documents. Fortunately, Microsoft Dynamics Business Central makes email systems simpler by enabling the connection of one or more email accounts to the platform. This feature allows users to compose individual messages with formatting tools and include attachments. Report layouts can also be set up to include key information from each document.

Adding Email Accounts

To add an email account, users can use included extensions that enable accounts from a variety of email providers to be linked to Business Central. These extensions allow the use of accounts from Microsoft Exchange Online, but other providers such as Gmail will require additional extensions.

To add an email account, users should choose the search icon, enter Set Up Email Accounts, and choose the desired link.

Assigning Email Scenarios

After adding an email account, users can designate preselected email scenarios in which the account should be used to send emails. Email scenarios send documents, such as a purchase order, or a notification. For example, one can specify that all sales documents are sent from email A, all production documents from email B, and so forth. When a scenario is unassigned, the email will originate from the default account.

Using a Substitute Sender Address on Outbound Emails

If a BC platform utilizes the legacy SMTP settings, users can use the Send As or Send on Behalf features. With this feature, Business Central will put a user-selected substitute email in the sender address or amend the email with “on behalf of.” This feature may be useful when users want to use a noreply@companyname.com email for documents and other information.

To set up the substitute address for all outbound emails, users can select the search icon, enter SMTP Email Setup, and choose the desired link. In the Send As field, enter the desired substitute address. Then, copy the address in the User ID field and enter it into the Send As field in the Exchange admin center.
