While many businesses use Microsoft Excel, most run the application through the actual system itself, rather than integrating the tool into their work. With Microsoft Dynamics Business Central, you can use the tool to analyze data, its true purpose. When you use a leading ERP system like Business Central, you can use Excel as a true tool and allow you to leverage  your investment in the Microsoft ecosystem to get the most out of your system.

The integration with Microsoft Excel can simplify editing and viewing large amounts of data. Microsoft allows users to either Open in Excel or Edit in Excel. In this blog, we will highlight how to access these functionalities, how they can help your business, and important things to keep in mind.

Accessing the Features

When working with lists that contain rows and columns within Business Central, you can click the “Share” icon at the top of the page and select either the Edit in or Open in action. These features can be utilized from lists of customers, invoices, sales orders, and more.

Open Versus Edit in Excel

When you Open in Excel, your changes to the Excel file will not impact your work in Business Central. You can only save your work as an Excel document, rather than publishing data back to the ERP. Open in Excel can be helpful for users who would like to view their information within Excel to make it more digestible, or organize the data by filters. If you would like your actions to impact your data in Business Central, choose “Edit in Excel.” For example, if you need to edit your data all at once, this is the best option

Important Features of Edit in Excel

It is important to keep in mind that editing and opening within Excel will not violate security parameters. For example, if you have a user within your business who is not able to edit parts of your data, these will hold once you export to Excel. Additionally, Excel will not allow you or users to upload or import invalid data to Excel. These features ensure that you can utilize Excel worry free.
