Reconciling General Ledger Account Balances Using GL Open Items in AUX

Maintaining accurate and auditable General Ledger (GL) balances is a critical part of financial reporting and compliance. AUX streamlines the reconciliation process through its GL Open Items functionality. GL Open Items enables users to perform account reconciliations directly within AUX, eliminating the need for external tracking tools. 

What Is GL Open Items? 

GL Open Items is a program that allows for detailed tracking of transactions within a GL account by associating them with allocation keys. The level of granularity is up to the user and can be tailored by account to provide the accounting team with the flexibility they need. Maintaining this appropriately simplifies both month-end and year-end processes. 

Any standard GL account in AUX can be converted into an Open Items Account. Once initialized, all transactions that post to that account can be tagged with an Allocation Key, which acts as a reference or categorization tool (e.g., a specific project, insurance policy, prepaid item). Using these regularly makes the month-end reconciliation process painless. 

If users are unsure of the appropriate allocation key during transaction entry, the field can be left blank and updated later through the reconciliation process. 

Reconciling Transactions with Ease 

The Reconcile functionality in AUX allows users to review GL Open Items for a given account and make necessary adjustments. This includes assigning or modifying allocation keys, correcting entry errors, and ensuring that all transactions are appropriately categorized. This process helps ensure that account balances remain accurate, the transactions driving the balance is traceable, and the account is ready for audit. 

At the close of each period, finance teams can generate the GL Open Items Report — a detailed summary of all GL Open Item transactions and their associated allocation keys. This report serves as both an internal control and an external audit resource. It can be run for any current or historical period to meet documentation or reporting needs.
