Collection Pool Setup in Microsoft Dynamics AX 2012

While implementing a new Legal Entity in a client’s version of AX 2012 R3, we discovered an issue pertaining to the collection pool setup for collection agents.  (Note: A Customer Pool can be setup under Accounts Receivable and the criteria for a pool can be very specific.   They can be customer groups, customer classification groups, financial dimensions etc.)   

To provide an overview on the client’s setup, they had 2 virtual companies where each virtual company was composed of 4 legal entities.  We had went Live on 4 entities, and were gearing up for our 5th.  (The 5th legal entity was our first entity on the second virtual company).  We had setup user security in normal fashion, and created the correct employees in the HR Module.  We noticed the issue when the Customer Pool(s) assigned to the collector who logged into AX was not displaying in the collections screen.  They were seeing an unfiltered customer list.

Setting Agents to Collection Pools

1.      Click Accounts Receivable>Setup> Collections> Customer Pools

a.      Click Add team members

b.      Click Add to add a pool ID.

 i.     The pool ID’s that are identified in this table are the only pool ID’s that a collection agent can see when they open Accounts Receivable> Collections> Collections

 ii.     Once the pool is assigned it will show up on the collections screen under pool.  We did not see this.  Our Pool was blank, like this picture.

We toggled around with a few settings in Accounts Receivable, but finally made a discovery on the User Relation Form.  This form is located under System Administration> Users> User relations.  We noticed that the person who was not seeing the customer pools did not have the worker icon next to their name.  This was due to the fact that they had the wrong Person field setup in the user relation form.  They had multiple party entries, but linked the wrong legal entity.  When they linked the wrong Person field to their UserId it was preventing the user to see their Customer pool.  Once the correct Person was assigned to the correct User ID, the Customer Pools were showing correctly.
